Write a proposal with these sections:

1. UNDERSTANDING YOUR SITUATION
   Restate their problem in their language. Show I was listening.

2. WHAT I PROPOSE
   Describe the work I'll do. Be specific about deliverables.
   Use bullet points. Each deliverable should be concrete and measurable.

3. HOW I WORK
   Outline the process in 3-5 phases. Include what I need from them.

4. TIMELINE
   Realistic timeline with milestones. Build in buffer.

5. INVESTMENT
   Pricing with what's included. If I have tiers, show 2-3 options.

6. WHAT HAPPENS NEXT
   Clear next step. Make it easy to say yes.

Keep the tone confident but not salesy. Write like a trusted advisor, not a vendor. Use "you" more than "I." Under 800 words total.

Make It Better

After the first draft, try:

  • “Rewrite section 1 to reference the specific pain point they mentioned about [topic]”
  • “Add a FAQ section addressing common objections: timeline concerns, revision policy, and what happens if scope changes”
  • “Make the pricing section more confident. Remove any apologetic language.”

Tips

  • Record your discovery calls (with permission). Paste the transcript instead of notes for much better results.
  • Include something the client said word-for-word in your notes. Claude will weave it into the proposal. Clients notice when you quote them.
  • Always review the pricing section yourself. Claude doesn’t know your margins.
  • Add your portfolio links or case studies manually. The proposal structure from Claude plus your real results is a strong combination.
  • Send within 24 hours of the call. Speed signals professionalism.
