The 50-Email Monday System
The Setup
Pipeline is the thing solopreneurs always say they’ll build and never do. You’re so busy delivering for current clients (or building things, or writing a book, or running a bakery) that prospecting falls off entirely. Then the current work dries up and you’re starting from zero.
The idea: build a system that sends 50 personalized outreach emails every Monday morning — warm introductions, not cold spam. A machine that fills the top of the funnel while I focus on everything else.
The Build
The design is straightforward. A lead list in Google Sheets — curated, not scraped. People I’ve identified through Threads, LinkedIn, local networking, or referrals. Each row has their name, business, what they need help with (my best guess), and a personalization hook (something specific to them).
Every Monday, Zapier triggers a batch send. Each email gets personalized through a ChatGPT layer — taking the template and the personalization hook and producing a message that feels one-to-one. Not “Hi {first_name}, I noticed your company does {industry}.” More like a genuine note from someone who actually looked at their business.
Replies get routed to a tracking sheet. Anyone who responds positively moves to a warm pipeline. Anyone who doesn’t respond gets one follow-up at day 5, then nothing. No sequences of seven emails. No “just bumping this to the top of your inbox.”
The Mess
This system is designed but parked. I designed it in March 2026, tested the Zapier flow with a batch of 10, and then decided that finishing the book was a better use of my time than building pipeline I wasn’t ready to serve yet. That’s the honest story.
The harder problem I ran into during testing: the personalization layer wasn’t good enough. ChatGPT with a generic template still sounded like outreach. The emails that actually got responses were the ones where I added a specific observation about their business by hand. Automating taste is harder than automating volume.
The Result
Not yet deployed. The system is built, tested in small batches, and waiting for the right moment. When I’m ready to grow the consulting pipeline again, I’ll flip the switch. The infrastructure is there.
It’s in the portfolio because it represents something real about building systems: not everything needs to run right now. Sometimes you build the machine and leave it off until you need it.
The Takeaway
The best pipeline system is the one you build before you need it. The worst time to set up prospecting is when you’re already desperate for clients.
